Privacy policy

We may update this policy from time to time. When we do, we post the new version here and change the date above (section 17).

This policy explains what information Proto handles, why, who else receives it, how long we keep it, and what you can do about it. Our Terms of Service are the agreement for using Proto.

Google user data: our Limited Use commitment is in section 6.

1. Who we are and what this policy covers

Proto is provided by Proto (letproto.com). In this policy, "we", "us" and "our" mean the people who run Proto. "Proto" also means the AI assistant you message. Proto is an AI assistant.

This policy covers the Proto service, however you use it (messaging, our web pages for signing up, connecting apps and billing, and any other way we offer it), and our website, letproto.com.

Who Proto is for. Proto is for company teams, for business use, by people 18 or older. Each person joins through their company's Proto.

Our role, and your company's. Your company decides whether its people use Proto and which information they bring into it. We handle that information to provide Proto for your company, as this policy and our Terms describe. Your company is responsible for having the rights, notices and consents it needs from the people whose information is in it, and its own privacy practices also apply to that information. A separate written agreement with us also covers it.

2. Information we collect

Account details

Your name, job title, time zone, work email, mobile number, Apple ID or other messaging account, your company's name and email domains, whether you are an admin, and the preferences you set.

Messages and content you send

The messages you send Proto and Proto's replies, including voice notes, voice calls, pictures and files. If someone adds Proto to a group chat, Proto receives that group's messages, including messages from people outside your company.

Content from apps you connect

You choose which apps to connect, such as Google, Microsoft, Notion or Slack. When you do, we receive the content Proto needs to help you, such as email, calendar events, documents, messages and tasks, and we keep a record of what Proto drafts, creates or sends for you. Sign-in details for connected apps are held by our app-connection provider.

Notes and memory

Proto keeps notes and context from your conversations and connected apps, such as your preferences, work context and to-dos, so it can be useful over time.

Meetings

If you ask Proto to join a video meeting, it joins through a meeting provider and tells the participants that an AI assistant is present. The provider turns the meeting's audio into a text transcript, which includes what everyone says, including people outside your company. We keep the text transcript and notes. We do not keep the audio or video recording. The person who invites Proto is responsible for having the right to record, for telling the participants and for getting any consent the law requires. Recaps and notes from a meeting may be shared with people from your company who attended.

Usage and technical records

Records of how Proto is used (such as counts of replies, actions and usage), device and connection details, logs, troubleshooting records, and a record of your opt-outs and opt-ins.

Billing

Our payment provider collects card and billing details on its own pages, and card details never reach us. We keep billing identifiers, plan details, amounts and dates.

People who don't use Proto

Information about people who aren't Proto users can appear in a user's messages, email, calendar, files, meetings or connected apps. We handle it only to provide Proto for that user's company. If you are one of these people and have a request, contact us.

Our website

If you use a form on letproto.com, such as the waitlist or a contact form, we collect what you enter, such as your name, email, company and team size.

What not to send

Please don't send Proto passwords, full card numbers, government ID numbers, health records or other specially regulated information (see our Terms). If you do, it is handled like any other message.

3. How we use information

We use information to:

  1. provide Proto: understand your messages, answer, work with your connected apps, draft, remind you, take notes in meetings you ask it to join, and remember what matters to you;
  2. let Proto work with your teammates within your company (section 8);
  3. keep Proto safe and working: prevent abuse and security problems, fix bugs, and respect your opt-outs;
  4. bill your company and keep business records, such as usage and payment history;
  5. improve Proto, using usage data and test examples we write ourselves, and, only if your company agrees, training as described in section 4;
  6. meet legal duties and protect the rights and safety of our users, the public and Proto.

We don't sell your information, and we don't use it for advertising.

4. AI and model training

Proto uses AI models from outside providers (section 5). To do its work, Proto sends them the content it needs, such as your messages, voice, pictures, files, meeting transcripts and content from your connected apps. AI can be wrong, so please check anything important.

Training. We don't use your content to train AI models unless your company has agreed in writing. If it has, we tell each person first, and each person can opt out at any time by messaging "don't use my chats", after which we stop and delete what we kept for them. Information from Google or from your other connected apps is never used for training. Training copies are used only to improve the models that run Proto, and are never sold or used for advertising.

5. Who receives information

We use outside service providers to run Proto. Each receives only what it needs for its job and may use it only to provide its service to us. They are independent companies with their own security and privacy practices. This list may change as we add or swap services.

The kinds of providers we use:

A current list of our main service providers is available on request (section 18).

Your own accounts. When Proto sends an email or creates a document for you, it does so in your own account, and that provider's policy applies from then on. If you connect Proto to another AI app, that app's terms apply to what it receives.

Apps you connect to Proto. An app you connect, including through ChatGPT or an MCP connector, can read information you are allowed to share. With separate permission, it can post updates, add tasks, finish, reopen, rename or re-date your existing tasks, and ask teammates on your behalf. Each update or question to a teammate, and any change to a task that other people are waiting on, needs your yes after Proto shows you the message in your own thread. Your company's access and sharing rules still apply.

Other times we share information: inside your company (section 8); when the law requires it, or to protect someone's safety or rights; if the business changes hands, for example in a merger or acquisition; and when you ask us to.

6. Google user data

When you connect a Google account, Proto receives information from Google, such as Gmail, Google Calendar and Google Drive data.

Our commitment: Proto's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

8. Sharing inside your company

Companies are kept separate. We keep each company's information separate, and Proto doesn't pass one company's information to another company.

Within your company, Proto may share work information with your teammates and their Protos as part of how the product helps teams work together, such as your availability, shared notes, tasks and meeting recaps. Your company's admins can manage accounts, features and billing, and can see usage.

Your private messages. We won't give your company or your teammates your private conversations with Proto or your private memory unless you agree or the law requires it.

If you leave. When an admin removes you, Proto stops acting for you and disconnects your connected apps. Work information already added to your company's shared information stays with the company. The rest of your information is handled as section 9 describes.

9. How long we keep information, and deleting it

We keep information while your company's account is active and as long as we need it to provide Proto, meet legal and accounting duties, resolve disputes and enforce our agreements. Some records, such as billing, usage and opt-out records, are kept after you leave. Backups are deleted on a rolling basis, and until a backup is deleted it may still hold information that was deleted from our live systems.

Deleting. You can ask Proto to forget something, or contact us to delete your information or your company's information. We will delete it or tell you what we must keep and why, such as billing records, your opt-out record, information in your company's shared notes, anything the law requires us to keep, and backups until they are deleted. We respond to requests within the time the law requires.

Disconnecting an app. You can remove Proto's access at any time in the app's own settings, or ask your admin or us.

10. Security

We use safeguards that fit the kind of information we handle, including encryption, access controls, and separation between companies. Only people who need access can see content, and we look at content only to give support you ask for, to investigate security problems or abuse, to follow the law, or for quality review where your company has agreed.

No system is perfectly secure, and we can't guarantee that information will never be accessed, disclosed, changed or lost by someone who shouldn't have it. Please keep your phone, messaging accounts and connected-app accounts secure. If we learn of a breach that affects your information, we will tell your company's admins without undue delay, and affected people as the law requires.

11. Your choices and rights

We won't treat you differently for using these choices.

12. California residents

This section adds to the rest of the policy for California residents.

In the last 12 months we collected these categories of personal information, from you, your company and your connected apps, and disclosed them for business purposes to our service providers (section 5): identifiers (name, email, phone number or Apple ID); commercial information (plan and billing); internet and electronic activity (usage records and logs); audio and visual information (voice, pictures and meetings); professional information (job title, company, calendar, documents); inferences (preferences and work patterns); and sensitive personal information (the contents of your email, messages and app content, and app sign-ins). Section 3 explains why we use it and section 9 how long we keep it.

No selling or sharing. We don't sell your personal information or "share" it for targeted advertising, as California law uses those terms, and haven't in the past 12 months. We don't knowingly sell or share information about anyone under 16.

Sensitive personal information. We use it only to provide the service you asked for and for other purposes the law allows, such as security, and for training only as section 4 describes.

Training benefit. A company that agrees to training may receive a benefit, such as bonus usage. Agreeing is optional, can be withdrawn at any time, and isn't needed to use Proto. We offer it because training copies help us improve Proto.

Your rights. You can ask us to tell you what we've collected about you and give you a copy, delete it, correct it, and limit our use of sensitive information. We won't treat you differently for asking. To ask, contact us (section 18). We'll confirm the request is yours using the details we have on file, and answer within 45 days. An authorized agent can ask for you with your signed permission.

13. People in the EU, UK and Switzerland

If European or UK data protection law applies to you, we rely on these legal bases: providing the service your company signed up for (contract); our legitimate interests, such as keeping Proto secure, coordinating with teammates, improving Proto and keeping business records; your consent, for example when you connect an app (you can withdraw it by disconnecting); and legal duties, such as keeping tax records. For training, if your company agreed, we rely on our legitimate interest in improving the models that run Proto, balanced by the notice we give you and your right to say no at any time.

You can ask to see, correct or delete your information, limit or object to our use of it, get a copy you can take elsewhere, and withdraw consent. You can also complain to your local data protection authority. To ask, contact us (section 18).

14. Children

Proto is for people at work, aged 18 or older. It isn't for children, and we don't knowingly collect information from them. If you think a child's information has reached Proto, contact us and we will delete it.

15. Where information is processed

Our servers and providers (section 5) may process information in the United States and other countries. Where the law requires safeguards for transfers, we use them.

16. Cookies

Proto's own web pages use only what they need to work, such as a sign-in cookie, and no advertising or tracking. letproto.com doesn't use advertising cookies, and we may count visits with privacy-friendly analytics. Pages run by other companies, such as sign-in and payment pages, set their own cookies under their own policies. We don't sell or share personal information for advertising, so there is nothing for a browser's "do not track" or Global Privacy Control signal to switch off.

17. Changes to this policy

We may update this policy. Updates take effect when we post them at letproto.com, and the date at the top shows the latest version. If you keep using Proto after an update, the updated policy applies. If the law requires your consent for a specific change, we will ask for it then.
